WebMD, formerly CareInsite, and MAPS-MD urge you to attend one of our upcoming seminars regarding your electronic billing. CareInsite representatives will be presenting information on future changes re your current electronic billing practices during the first portion of the session. The last hour of the session will be dedicated to a review of Basic Billing Procedures for HCFA 1500 billers only.

Basic Billing Provider Training Year 2000 – Registration sheet to be published soon

Billing training sessions for providers have been scheduled and a registration sheet will be distributed within the next week via the MAPS-MD web site and EOP inserts. The following are the dates, locations, and times of the MAPS-MD Basic Billing Training. New billers are encouraged to attend. Please mark these dates on your calendars.

Tips for Completing the MAPS-MD
Data Collection Worksheet (DCW)

Data Collection Worksheets and Income verification are necessary in order for MAPS-MD to establish coverage for an uninsured individual under the Public Mental Health System. Copies of the Data Collection Worksheet are available on the MAPS-MD web site (MAPS-MD.com) or in the MAPS-MD Provider Manual.

Data Collection Worksheet's submitted to MAPS-MD should contain ALL of the following information:

  1. Name (First, Last, MI)
  2. Sex
  3. Date of birth
  4. Address
  5. Telephone number
  6. Social Security Number
  7. Income with attached verification
  8. Family size
  9. Medicare number
  10. Other insurance information
  11. Provider information (contact/phone number, & fax number)

If the provider of service is unable to immediately obtain income verification information, the Data Collection Worksheet (DCW) should still be submitted timely in order to ensure that the consumer's eligibility is effective prior to the date of service. If the provider is unable to submit income verification, MAPS-MD will accept and process income verification documentation at any time during the current eligibility span. Income verification is only calculated once for each yearly eligibility span. Extraordinary changes in a consumer's individual circumstances will be reviewed on a case by case basis.

Eligibility spans will begin on the first day of the month in which the DCW is received by MAPS-MD. MAPS-MD is unable to back date the DCWs. Requests for eligibility spans to begin prior to the month in which the DCW is received by MAPS-MD must be submitted to the Core Service Agency in the consumer's county of residence for consideration.

If any part of the consumer's income is derived from Supported Employment, the provider must indicate the exact amounts on the DCW in order for the income not to be included in the calculation of the copayment amounts.

For providers who indicate a fax number on the DCW, MAPS-MD will fax Eligibility Letters indicating the consumer's copay amounts. Providers that do not have a fax machine must check the Gray Zone web site (www.gzmd.com) for eligibility information. To access the Gray Zone web site you must have a user name and password registered with MAPS-MD. To receive a user name and password, submit an e-mail to teamg@apshealthcare.com. Please include your facility's or practice group's name and the name of a contact person.
